Vacancy: Church Life Administrator

Position Summary

The Church Life Administrator serves as the operational heart of our community, blending exceptional administrative precision with deep relational insight. This unique role goes beyond standard office management; it utilises technological tools and robust systems to ensure every individual feels seen, cared for, and connected to the church family. By managing ministry coordination, event logistics, member engagement, and financial workflows with both high attention to detail and a heart for people, this role creates a structured environment where ministry flourishes and our church community thrives. This role serves 3 primary areas:

  • Church Life

Purpose: To leverage technological tools, data insights, and strong organisational systems to ensure the smooth running of day-to-day church life, making members feel seen, connected, and cared for. Key Responsibilities

  • Database & System Management: Maintain and optimise the church database and registration platforms (Planning Centre), ensuring data integrity is used to track member engagement and prevent anyone from falling through the cracks.
  • Relational Connection & Engagement: Facilitate intentional, timely communication to assist with member onboarding, volunteer coordination, baptisms, dedications and assimilation into church life through Gospel Communities (small groups).
  • Pastoral Care Support: Provide administrative backbone to pastoral care initiatives, including tracking practical care needs, maintaining sensitive records, scheduling visits, and managing follow-up communication workflows.
  • Frontline Representation: Serve as a warm, welcoming, and highly resourceful first point of contact for members, visitors, and volunteers seeking administrative support.
  • Ministry & Event Coordination: Oversee the administration, scheduling, and logistical planning for church ministries, courses, events, and key activities.
  • Process Optimisation: Continuously evaluate and improve administrative processes to increase efficiency, clarity, and team collaboration.
  • Finance

Purpose: To deliver accurate, transparent, and timely financial administration that upholds the highest standards of stewardship, integrity, and organisational accountability. Key Responsibilities

  • Reconciliation: Reconcile ministry debit cards, petty cash, and church collections meticulously in accordance with internal financial procedures.
  • Communication & Inbox Management: Monitor the dedicated finance and general church mailboxes daily, ensure all inquiries are swiftly routed to the appropriate departments and that incoming vendor invoices and statement accounts are captured for timely payment processing.
  • Payment Processing: Prepare, verify, and track payment requests, ensuring proper authorisation and vendor management.
  • Team Support

Purpose: To provide agile, high-calibre administrative support across the staff team, fostering a collaborative and mission-aligned working environment. Key Responsibilities

  • Cross-Department Collaboration: Provide flexible, high-level administrative support to various departments during peak ministry seasons (e.g., Easter, Christmas) or major organisational projects.
  • Office Stewardship: Handle document preparation, official correspondence, calendar management, and general office operational tasks with professionalism.
  • Proactive Communication: Maintain clear transparency with leadership regarding workload capacity, timelines, and competing deadlines.

Key Competencies

  • Leadership & People Management: Strong leadership and people management skills with the ability to manage individuals, coordinate teams, and deliver outcomes through effective planning, delegation, and collaboration.
  • Systems & Tech Savvy: Proficient in or highly adaptable to Church Management Software (Planning Centre), database logic, communication tech, and modern office productivity suites.
  • Relational Intelligence: Deep empathy and insight into human behaviour, with the ability to read between the lines of data to identify pastoral or connection opportunities.
  • Meticulous Attention to Detail: Exceptional organisational skills with a natural inclination toward accuracy in data entries, financials, and scheduling.
  • Discretion & Trustworthiness: Impeccable judgement when handling highly confidential pastoral, personal, and financial information.
  • Excellent Communication: Strong verbal and written communication skills, featuring a warm tone that balances professionalism with pastoral warmth.
  • Time Stewardship: Advanced planning and prioritisation skills, capable of managing multiple projects simultaneously under minimal supervision.
  • Agility & Solution-Focused: A proactive, flexible mindset that thrives on problem-solving and refining broken or outdated processes.
